Microsoft SharePoint Document Library
Depending on which Microsoft 365 subscription you may already be signed up to, you will already have access to Microsoft SharePoint for hosting your company data.

- Microsoft 365 Business Premium – desktop application & online
Amount of Storage Available
With your company Microsoft tenant, this provides you with 1TB storage, plus for every licensed user account, of the 3 options above (Exchange Online Plans do not count), this provides you with an additional 10GB of MS 365 storage.
Example: 10 person company, 5 staff using Business Basic, 4 staff have Business Standard, and one staff member has Business Premium, this will give you in total 1.1TB of SharePoint data storage capacity.
Should you require additional space over and above the space made available per Office 365 user, then this can be purchased on a per gigabyte (GB) per month basis. Features Cloud storage for SharePoint Online, and other Office 365 services. Benefits Increase file storage allowances on per Gb per month basis at just £0.15 per user per month.
Ease of accessibility & Security
Whilst ensuring all company data can only be accessed via 365 Authentication, plus Multi Factor Authentication, Microsoft SharePoint provides both secure but also “access from anywhere”, enabling your staff to work from the office, home, client’s offices, or whilst on the move.
Folder and file access is easily controlled by Membership to SharePoint Sites/ Folders / Files.
You can also choose to share certain files to 3rd parties, where relevant, for example when working on projects/tasks that may have a number of external contractors. More secure than sending the file as an attachment via email, and less costly in time. All parties can view the same document in real-time.
Co-authoring
Work collaboratively with your work colleagues on the same document, at the same time, saving you from having to update a document, save changes, exit the document, then notify your next team member to let them know they can open the file, before they are then able to make their changes – or in worst cases, being locked out of a document, because someone forget to Save & Close the file before they went away on annual leave.
Version History
You only need one filename for each document. SharePoint keeps a Version History list, so you can always can back to view, or even restore, to an earlier version of the document. Again, ensures that everyone is always viewing/editing the latest version of the file, at all times, without scrolling through countless emails searching for the latest reply in an email conversation.
